DGS Improvements to Contract Management

Total Contracts

DGS has created a system to analyze all current contracts within CitiBuy. The analysis will provide an overview of total contracts, when contracts will expire, whether contracts have options, and which contracts have reached the spending limit.

DGS implements contract monitoring methods to prevent lapses and disruptions in services. Knowing which contracts are nearing expiration, or reaching their spending limit, allows us to be proactive, instead of reactive. DGS looks ahead six months, prior to a contract’s expiration date, to determine if the agency needs to start the bidding or renewal process. Contracts that reach at least 75% of their spending limit are also monitored, and change orders are put in place, before the funds are depleted.  The plan is to ensure the continuation of all services, in order to meet the needs of the citizens of Baltimore.
